Safe operation protocols following the Covid-19 Virus

As professional photographers working in our community it is essential for us to help and minimise the spread of any infection.


Even though we have always operated a clean studio working policy we have introduced some new working protocols to meet government guidelines as well as common sense initiatives to protect us & you. Like all small business we have been hit by this pandemic lockdown and are eager to get back to work, but we can only do that safely with your cooperation, which includes temperature testing on arrival, a no touch protocol and sanitization on arrival.


Personal Protection Equipment Our key PPE protection is through temperature monitoring & sanitization gel on arrival, for both you and us. We would prefer to work without PPE, like masks and gloves, most of the time, but at your request or for specific reasons or government guidelines, we will of course do so.


Until further notice there will be sanitisation facilities for clients and Employees. Sanitisation, Hand Washing, Sneeze Etiquette and health monitoring will all follow our studio protocol.

Social Distancing

We have rearranged our diary to ensure no crossover and are working to a strict “By Appointment Only” rule as well as ensuring our contact is minimised with the social distancing.

As we say “2 meters don’t mean we don’t love you” in fact by respecting the 2-meter guideline as well as our no touch policy, the session will follow and still feel like a great experience. We will follow guidelines on grouping and numbers at all time and adjust to the numbers in a session allowed.


When shooting on location we will only be photographing one family at a time, with an extended time slot to allow for appropriate client & studio employee/s sanitisation protocol. Temperature checks & 3 little questions AS we photograph the different vulnerable age groups, we take an infrared temperature check on arrival of everyone if acceptable, including ourselves. We ask the main contact of a group with mixed families, especially those with very young children make this procedure into more of a game, we may refer to it being a “Happy Meter” Any subject who has a temperature of 37.8 or above, the session will need to be rescheduled.

On arrival we will ask 3 simple questions:

1. How is everyone feeling?

2. Has anyone had a cough or any flu-like or Covid symptoms in the last 14 days.

3. Have you been around anyone exhibiting these symptoms within the last 14 days, including a visit to hospital?


Sanitation Protocol

Prior to all sessions our sanitisation and cleaning protocol as a minimum include: Hand Gel & Temperature Check on Arrival Designated secure coat and baggage area. Washing hands regularly before and after any session Cleaning of all client areas and furniture, including client toilet facilities, door handles & counter tops. Post Session cleaning of studio props that clients might come in contact with.

1: Session Fees

Where a session fee is payable; the session fee pays for the time and talent of the photographer and for your in- person viewing appointment. It does not include any finished portraits. The session fee is due at the time of your booking. Session fees are non refundable.

2: Booking deposit – a deposit of £30 is required in order to reserve time in our diary.

3: Missed appointments- or appointments cancelled and changed within a period of more than 48 hours since the booking is made are subject to a £30 re-booking fee. Therefore a further £30 deposit will be required to secure a new date in our diary. This booking deposit is refunded at your viewing appointment or may be used against a purchase providing all appointments have been attended.

4 : Makeover sessions; all participants must attend the viewing appointment.

5: Please bring only the subjects to be photographed to the session. This is especially important with pets and children, as we will need their full attention  rather than them looking at other members of the family. Of course parents are always welcome.

6: You will view your portraits at a personally attended slideshow. You will be asked to order at this time. Please make sure all decision makers are present, as additional ordering appointments incur a £50 fee.

7: While we capture many images during your session, you will see only those images selected by your photographer for previewing. Each image is carefully rendered to ensure maximum artistry and technical perfection.  Images with eyes closed, heads turned and duplicates will not be shown and will be removed from the archives permanently after the artist rendering is complete.

8: Due to the custom nature of the work, payment for your order is required in full at the time of the order. Orders made by credit agreement are subject to a 50% cancellation fee should you change your mind about an order after it is placed. Once an order is sent to the lab, it is deemed non refundable. Payments may be made by cash, cheque, Visa, MasterCard or American Express. A payment plan is available.

9: Design work and custom graphics will be approved for colour and layout in-person on our professionally colour calibrated monitors at the ordering appointment. Only font style, spelling and wording may be approved through electronically emailed proof.

10: Completion of orders: Please allow up 3-4 weeks for digital images and prints and up to 8 weeks for Wall Art & Albums. Custom design or airbrushing may increase production times. Your portraits are an investment and an heirloom that should not be rushed. You will be notified by telephone or e-mail when your order is ready for pickup. If you are unable to pickup your order, we can ship your order for an additional charge (excluding framed portraits). Placing an order of £1000 or more will also include free, local delivery (within 15 miles) if required.

11: All ordered images are kept on file for a period of 5 years. Un-ordered images are removed from our archives.

12: The Copyright Act protects photographers by giving us the exclusive right to reproduce your photographs. Violations include, but are not limited to, making illegal copies, scanning, printing from home or downloading from our website. It is illegal to reproduce or copy these photographs without or permission and violators of this Criminal Law will be subject to its civil and criminal penalties. Please understand, the photographer wishes to maintain complete control over print quality, finishes and presentation of the images and any reproduction outside the studio may lower the quality of image and scar our reputation for providing superior portraits.

12: We reserve the right to limit the offers to one per family per year. Offers may not be used in conjunction with other offers.  Photo shoot and Portrait Xperience vouchers may not be used to purchase items from previous sessions.

Vouchers Terms & Conditions

Family Photoshoot Voucher - £25

1.Your  photoshoot voucher (hereafter: Voucher/s) must be used to attend the photoshoot within 6 weeks of its expiry date.

2. Vouchers may not be used in conjunction with any other offer.

3. Vouchers may not be used to purchase photographs from a previous photoshoot.

4. The Voucher is not redeemable for cash or transferable.

5. The Voucher is valid only for the purpose detailed within the voucher itself; in the case of a family photoshoot, all family members must attend.

6. The studio photoshoot is valued at £150.

7. The complimentary framed image from your photoshoot will be a 7″ x 5″ and is worth £95.

8. Only one Voucher may be used per family per year.

9. At the time of booking the photoshoot, you will be asked to provide a £30 refundable booking fee to secure your date in our diary.  This is fully refunded to you providing all appointments are met.

10. If you need to change your booking you must do so within 48 hours of making it. Please contact the studio if you are unable to attend.

11. Standard delivery 5-7 working days
